Who operates ClearClose HQ

ClearClose HQ is operated by Newman Vault, LLC, a Texas limited liability company. This policy describes how ClearClose HQ handles information submitted through the website and workspace.

Information we collect

We collect the account email you provide and a salted password hash, not your plain-text password. The workspace stores information you enter, which may include property, seller, buyer, transaction, deadline, document-draft, signer, and activity details. We also retain session, password-reset, subscription-status, and connected-provider identifiers needed to operate requested features.

How information is used

We use information to authenticate accounts, save and display workspaces, generate requested drafts, maintain activity records, deliver account email, support connected services, respond to support requests, and protect the service. We do not sell workspace data or use it for third-party behavioral advertising.

Service providers

• Amazon Web Services hosts the production application and stored workspace data.
• Cloudflare provides DNS, network delivery, and secure tunneling to the application.
• Amazon SES receives email addresses and message content needed to deliver account messages such as signup confirmations and password resets.
• Polar previously processed subscription events and provided billing-management links. It has no active subscriptions.
• Stripe processes subscription payments and provides the customer billing portal when paid subscriptions are enabled. When you subscribe, ClearClose shares your account identifier, email address, and billing status with Stripe to link your subscription to your account.
• DocuSign receives document content and signer names and email addresses only when a configured user explicitly sends a reviewed document through a connected account.

We may also disclose information when required by law, to protect rights or security, or as part of a business transfer subject to appropriate handling.

Cookies

ClearClose HQ uses an HTTP-only session cookie to keep users signed in. It is used for authentication, not advertising. Connected service pages may apply their own cookies under their policies.

Retention and deletion

Account and workspace data is retained while an account is active and as reasonably needed to operate the service, resolve disputes, protect security, and meet applicable recordkeeping obligations. You may request account deletion; some records may be retained where required or reasonably necessary for those purposes.

Your choices

You can export workspace data as JSON from Settings. To request access, correction, or deletion beyond that export, contact us. Disconnecting DocuSign removes its connection from ClearClose HQ but does not delete records held in the user's DocuSign account.

Security

Passwords are stored as salted hashes, authentication cookies are HTTP-only, and the public service is delivered over HTTPS. No transmission or storage method is completely secure, and we cannot guarantee absolute security.

Children

ClearClose HQ is intended for business users and is not directed to anyone under 18.

Changes

We may update this policy as the product or its service providers change. The revision date above identifies the current version.
